 Job Description

Overall Responsibilities -  Supports the ministries and programs of the church by ensuring that required administrative tasks are completed in a timely, cost-effective manner; supervises office staff and the Facilities Manager and works with various church boards and committees as needed.  Maintains and updates the church website. Position reports to the Senior Minister. This is a full-time (35 hours per week) exempt salaried position.

Specific Responsibilities:

Personnel Management- Supervises and develops office staff; maintains personnel files; ensures that new employees complete Employment Application, I-9 form, CT and Federal W-4 forms and terms of employment are documented; ensure changes to pay are documented in the personnel files.

Clergy administrative support- Ensures delivery of administrative support for work associated with worship services, weddings, funerals, adult education, and youth programs.  Involves volunteers whenever possible.

Church School Administrative Support - Ensures that office staff is available to support the Church School Director with administrative tasks.

Communications and Publications- Oversees preparation and production of church publications and communications, i.e. weekly bulletin, monthly newsletters, etc.  Ensures that all are completed accurately and in a timely manner.  Maintains and updates the church website.

Facilities and Property Management- Supervises facilities manager to ensure that the church building and surroundings are cared for and kept up.

Stewardship/Membership Support- Supervises staff that provides stewardship and membership support.

Customer service- Performs a variety of planned and unplanned tasks and is mindful of the need to provide exceptional customer service.    

Other- Attend various church board and committee meetings, as needed.

Required Skills and Competencies:

  • 3-5 years of accounting and business management experience, including responsibility for personnel, payroll, financial management, customer service, facilities maintenance and vendor relationships
  • Solid leadership skills; experience with staff selection and development; experience building a strong, mission-oriented team
  • (Desired)Experience with non-profit or church management/administration, including an understanding of church culture (i.e., how to get things done within a church organization) 
  • Excellent customer service and people skills; able to negotiate deadlines and deliverables to balance competing demands
  • Enthusiastic, independent, and able to work without direct supervision
  • Well organized and flexible; able to handle diverse assignments and juggle multiple priorities with high quality results
  • Strong business sense and exceptional analytical and project management skills; ability to learn quickly, identify efficiencies and take charge
  • Exceptional writing and technical skills for preparing and editing various church communications.
  • Ability to communicate effectively with a variety of internal and external audiences (e.g., clergy, staff, church members, boards, vendors, visitors)
  • Strong sense of integrity; ability to handle sensitive/confidential information, including information about staff, clergy, church members, pledges, etc.

Education

  • Bachelor's degree or equivalent work experience.

Required Technical Skills

  • Proficient in QuickBooks, MS Office products (including Windows, Word, Excel, PowerPoint, Publisher and Outlook); Power Church, Internet Explorer; and various web-based tools.
