Administrative Assistant

Job Summary:
Provide assistance to the Global Business Managers, Sales Manager, and Demand Manager in establishing product price lists, Incoterm pricing, filling out special pricing requests, forecasting, production planning. Respond to inquiries received from advertising or the internet and new product introduction.

Responsibilities:

  • Ensure our price lists and SPA’s are maintained and up to date. Provide assistance when required to put price list and SPA’s in proper format for approved and sent to Pricing Coordinator.
  • Initiate, oversee and assist the process for new product introduction and follow process for proper routing of documents in a timely fashion and completed by all parties. 
  • Support the Demand Planning Process as needed.
  • Responsible to publish weekly department schedules.
  • Responsible to record and submit expense reports to accounts receivable on a timely basis.
  • Responsible for check requests and T&E’s.
  • Prepare letter and assist in making announcements or general mailings to customer base for handling change of manufacturer, price increases, product discontinuance or other issues related to product line.
  • Daily check pricing on order sheets.
  • Assist sales personnel with special requests when required.
  • Responsible to mail changes in MSDS to customers upon their first purchase after the MSDS had changed. This is a responsibility that rotates on a schedule within the Chemicals Group.
  • Responsible to distribute call reports and log in.
  • Receive Lab Technical Service Requests, distribute for signature and log in.
  • Upon request run import records on the products and competitive accounts identified by Global Business unit.

Accountabilities:

  • Responsible to process and log in sample requests for department and distribute weekly sample report log.
  • Accountable to distribute the price list to all internal and external distribution lists maintained within the department.
  • Accountable to make sure weekly schedules get circulated in a timely fashion and follow up when necessary to get information needed for the schedule when not fully complete.

Job Requirements:

  • Minimum of high school education.
  • 5 to 10 years’ experience - 5 years in business setting.
  • College degree preferred.
  • Experience with SAP.
  • Excellent Microsoft Office, with proficiency in Excel.
  • Detail oriented with emphasis placed on accuracy.
  • Strong communication and organizational skills.
