Assistant Director of Stewardship

POSITION SUMMARY:
The Assistant Director of Stewardship will apply the principles and practices set forth by the Stewardship team to effectively steward donors to The Hotchkiss School. Effective stewardship means facilitating communication to donors from beneficiaries, conveying meaningful impact of donor support, and ensuring fiscal responsibility. The Assistant Director of Stewardship will be responsible for managing data that is essential for stewardship, supporting annually recurring stewardship projects and communicating externally with donors and internally with stewards. The Assistant Director of Stewardship will also write, proof and edit stewardship communications to donors. The position calls for flexibility, excellent interpersonal skills, strong communication and writing skills, follow up and follow thru, and the ability to work well with all levels of internal management and staff, as well as the external constituency of alumni and parents. Strong writing skills and strong computer skills, as well as sensitivity to confidential matters, are required.  The Assistant Director of Stewardship will have the capability to adapt as the needs of the School and Department evolve
 
ESSENTIAL FUNCTIONS:
  • Support for the annual assignment of scholarship recipients and the thank you letter writing process
  • Generating endowed fund reports to donors
  • Writing, proofing and editing impact statements for endowed fund reports to donors
  • Creating new fund accounts in the Alumni & Development database and coordinating with the Business Office to ensure the corresponding fund set up
  • Calculating, validating and importing into the Alumni & Development database endowed fund market values and annual spending limits
  • Facilitating communication of those spending limits to stewards
  • Assist with identifying opportunities for stewardship based on School events
  • Follow up with fund stewards to facilitate their communications with donors
  • Contribute to the Annual Report of Donors project, including proofing, writing, and editing content and assisting with generating data for donor lists
  • Maintain procedural documentation for all responsible tasks
  • Facilitate efficient, accurate and customer-friendly communications/interactions with internal and external customers (faculty, staff, alumni, parents) in all areas related to both the Alumni/Development Office as well as The Hotchkiss School
  • All members of the Alumni & Development office are expected to work extended hours during Reunion Weekend in June
  • Additional duties and responsibilities as needed and assigned
 
SKILLS AND EXPERIENCE REQUIRED
 
  • Associates degree plus two years of experience in a fast-paced office environment, or an equivalent combination of relevant education/work experience. Bachelors degree preferred.
  • A problem-solving mindset. The willingness to try new solutions, fail and try again
  • Excellent follow up and the ability to manage multiple open tasks and projects
  • Proficient in Microsoft Word Mail Merges, Excel Functions and Outlook
  • Experience with Raiser’s Edge and/or Crystal Reports preferred
  • Ability to maintain the confidentiality of sensitive information required
  • A team player with excellent organizational skills, ability to function, act, and make decisions independently, strong interpersonal skills, and ability to prioritize duties effectively
  • Excellent writing, spelling, and grammar skills required.

  • Proven success working in a busy and diverse team environment
 
PHYSICAL CONDITIONS:
  • Requires the ability to remain in a stationary position working at a desk.
  • Requires the ability to constantly operate a computer (use of keyboard) or other office equipment repetitively using hands, as well as hear and or talk.
  • At events, position requires a significant amount of time standing and/or walking.
  • Periodic need to lift & carry weight (no more than 50 lbs with assistance), to move tables and chairs, hang signs ascending or descending a ladder, and other similar event tasks.
