Catering Administrative Assistant

This position is a non-state, hourly, full-time position employed by the University of Connecticut's Department of Dining Services, Storrs campus.  This position reports to the Sales Coordinator Manager and the General Manager of University Catering or appropriate designee and performs a wide variety of clerical functions.  This position also supports University Catering's management staff and operations. 
Essential Duties and Responsibilities: This position maintains inventory for office equipment and supplies; orders supplies as needed. Maintains cleanliness of office suite; handles incoming phone calls; evaluates operational systems and make recommendations for change to improve customer services, efficiency and cost effectiveness. Contributes to the formation and completion of both departmental and internal goals and objectives; attends and participates in meeting as required.  Plans and carries out special projects; operates within all University and departmental policies and procedures. Manages workflow, administrative paperwork and records related to events; files catering orders and revisions daily. Sends surveys to all customers; opens sorts and distributes incoming correspondence; receives payments, prepares receipts and logs payments. Completes required paperwork including but not limited to Event Order Sheets, Event Confirmations and surveys.  Assists with production, set-up, service and presentation to ensure quality standards are met and events are on track; assists with break down and clean-up of events.  Makes deliveries as necessary; assists in specials events as needed. Assists in the management of student employee program. Has daily contact with university and non-university customers; resolves issues through proper channels; promotes Dining Services and Catering in fostering and maintaining a positive image; completes other duties as assigned. 
Minimum Requirements:Associates Degree or equivalent combination of education and experience; basic accounting skills; demonstrated ability to communicate effectively in both written and oral format. Knowledge of the food industry; demonstrated customer services skills. Ability to work a flexible schedule and demonstrated experience with Microsoft office suite.
Preferred Requirements:Degree in Hospitality field; knowledge of catering/conference and room schedule software; experience working with FoodPro Menu Management System and 6 months experience working in a college catering environment.
The hourly rate for this position is $14.00. We offer a very competitive benefits package with health, dental, vision, short term disability and life insurance. We also include vacation, sick, personal and holiday time.  This is a non-state employment position.
