Office Manager
The Firm
We are a very small consulting firm located in the village of East Hampton, CT. (See www.crashsafetyresearch.com and www.crashsafetysolutions.com)
The Position
Experienced Office Manager needed for well-established company in East Hampton. The position is very hands on and requires someone accustomed to working for a smaller company where everyone is cross trained. The Office Manager has responsibility for the day to day operation of the office and for coordination of 5 people. As you might imagine with a forensic analysis firm, this is a fast-paced office where our plans for the next month can be changed by one phone call.
Some of the responsibilities include, but are not limited to:
Accounting and bookkeeping
-Using QuickBooks to maintain accounts payable, accounts receivable, bill paying,
- Payroll
- Posting transactions
- Banking and postal tasks
- Monthly, quarterly and annual reports
- Sales & use tax filings
- Maintenance of office equipment and inventory
- Ordering office supplies
Project management
- Assign tasks to assure everything is done on time
- Oversee calendar to make sure work progresses on time
- Contact clients to coordinate work, site visits, testimony, and any other tasks that improves the work product and its delivery in a timely manner.
- Book travel arrangements
- Manage research projects to completion which includes data mining, and duties as experimental assistant.
Training coordinator
- This includes overseeing the sales and use of the software (teaching tool)
- Contacting users to assist them
- Arranging courses
- Development of necessary teaching materials (i.e. – pdfs and thumb drivers of course materials)
- Attending 6 to 8 user conferences (mostly in US and infrequently overseas).
Other tasks as assigned.
