Financial Assistant/Bookkeeper

Financial Assistant/Bookkeeper (Part-time (15-18 hrs/week $20-22/Hour))

Job Description:

Overall Responsibilities: Supports the ministries and programs of the church by maintaining the church banking arrangements, financial accounting records, payroll and personnel records, and providing timely and accurate budget reports to the church Treasurer. The Financial Assistant/Bookkeeper will report to the Church Treasurer.

Specific Responsibilities:

Bank and Investment Accounts:

  • Sets up and maintains the bank accounts used for the operating funds of the church.
  • Ensures that bank accounts are reconciled to Quick Books monthly and to un-cashed checks
  • Questionable bills are investigated and promptly resolved
  • Income and expenses are booked into Quick Books within 5 days of receipt and entered into the correct ledger accounts
  • All electronic records are backed up frequently and disaster recovery processes are in place
  • Using Quick Books, checks are drawn on a weekly basis for all appropriate expense using the Operating Cash account. Amounts paid are charged against the appropriate expense and reserve accounts.
  • Coordinate with the Board of Finance monthly to appropriately report in Quick Book on endowment accounts and reserve account balances.

Financial Processing:

  • Manages and transacts the financial and business of the church related to the annual operating funds, investment, and restricted accounts
  • Enters all cash and non-cash other income items to Quick Books
  • Pays all church bills and verify the accuracy and appropriate approval of the bill before paying it.
  • Reports financial results against approved budgets monthly to the Treasurer and Executive Council and provide funds to boards and committees as requested.
  • Processes monthly bank account withdrawals for parishioner approved pledges.
  • Answers questions from parishioners about budgets, expenses, payments
  • Processes checks for Deacons or other requestors when needed.
  • Manages church credit card accounts and payments with proper authorizations
  • Completes 1099 reports at year end.
  • Office procedures are organized and documented. Both electronic and paper records are filed promptly; unnecessary accounts are closed.

Payroll:

  • Including processing employee payroll transactions authorized by the Personnel Committed and IRS payroll requirements; Coordinate with Check Writers to assure payments are made from vendor and enter payroll data into Quick Books
  • Completing payroll input and transferring money to the payroll bank account and assuring sufficient funds are available to cover payroll at all times
  • Recording payroll in Quick Books and distributing payroll vouchers to employees
  • Making necessary payroll changes for salary increases, new employees, tax or deduction changes, etc

Required Skills and Competencies:

  • 5 years of bookkeeping experience, specifically with Quick Books, Excel, and  payroll processing.
  • Desired experience with nonprofit accounting, financial reporting and Power Church software
  • Well organized; able to manage the accounting and reporting requirements for multiple requesters
  • Strong sense of integrity and ability to handle sensitive and confidential data
  • Strong analytical skills and ability to communicate results to the Treasurer and others
  • Enthusiastic; able to work independently and remotely on occasion.
  • Strong oral and communication skills
  • Flexibility to manage ebbs and flows of job requirements.
