School Busines Manager

Responsibilities include but not limited to:

Financial Planning:  Takes responsibility for the short-term and long-term financial wellbeing of the School.  Works with the Head of School, Treasurer, administration, faculty, and appropriate board committees to assess the School’s financial needs and undertake prudent financial planning.  Establishes the procedures and timeline for the annual budget process.  Works with the Head of School to prepare comparative financial data and to develop annual and long-range budgets.

External Relationships:  Handles the School’s relationships with outside financial institutions with which the school is connected.  Maintains contact, tracks requirements, and negotiates on the School’s behalf with these entities.

Board Participation:  Works with the Head of School and the School Board on strategies to extend and protect the School’s assets and resources.  Attends all Finance, Budget and Investment Committee meetings and prepares regular financial reports.

Financial Management:  Implements effective procedures to develop, monitor, and report on the annual budget. Actively monitors income and expenditures, cash flow, investment transactions, and the status of all funds held.  Develops and implements procedures for timely billing and collections.  Maintains accurate records of the School and student accounts.  Develops and implements effective procedures for ordering supplies and equipment, and for procuring services.  Works with the Director of Admission and the Head of School to develop and administer the School’s financial aid policies and funds.  Prepares materials for the annual audit with the Audit Committee.

Personnel:  Maintains accurate files on all full-time and part-time employees.  Administers the School’s benefits program.  Works with the Head of School and the School Board to develop compensation policies and packages that are in keeping with the overall goals and mission of the School.  Works with the Head of School, the administrative staff, and the School Board to develop and implement employee policies.

Physical Plant and Maintenance:  Works with the Facilities Manager to oversee the School’s maintenance and to coordinate capital projects.  Works with the Head of School and appropriate board committees on short-term and long-term planning and capital improvements.

Safety and Compliance:  Works with the administration to be sure that the School has adequate safety and practices and procedures; adequate liability, professional and casualty insurance; and that local, state, and federal reporting requirements are maintained.
